At Vumbua Safari, we strive to ensure the best experiences for our clients. However, due to our collaboration with various service providers such as hotels, lodges, and transport companies, cancellations are subject to both our policies and those of our partners. Below are the terms and conditions of Payment and Cancellation Policy:
Vumbua Safari Payments Policy
50% deposit is required to confirm a booking.
45 Days before arrival full payment to be received
If any extras, are to be settled in full before departure.
The Client agrees to pay costs associated with transfer of money to Vumbua Safari account in Tanzania.
Cheques are not accepted as a mode of payment.
Cancellation Policy
- General Cancellation Terms
All cancellations must be communicated in writing via email.
The effective date of cancellation will be the date on which the written notification is received by Vumbua Safari.
- Cancellation Charges
The following charges apply for cancellations:
60+ Days before arrival date 20% of the total cost (Administration cost) will be applicable. We will issue a credit note for the remaining amount to be utilized in another trip with Vumbua Safari.
45-59 Days before arrival date 50% of the total cost will be applicable.
15-44 Days before arrival date 75% of the total cost will be applicable.
0-14 Days before arrival date, it’s a “NO SHOW” 100% of the total cost will be applicable (no-refund).
Note: Certain service providers, such as airlines and luxury accommodations, may impose stricter cancellation fees. In such cases, their policies will supersede ours.
- Refunds
Refunds will be processed within 14–21 business days after the cancellation is confirmed.
Bank transfer fees or currency conversion charges (if any) will be deducted from the refund amount.
- Modifications or Changes
Requests for changes to bookings may incur additional charges and changes of accommodation or other service provider.
Any rescheduling or modification must be made at least 30 days prior to the travel date.
- Force Majeure
Vumbua Safari is not liable for cancellations or delays caused by unforeseen circumstances, including but not limited to natural disasters, pandemics, political unrest, or airline strikes.
In such cases, we will collaborate with our service providers to minimize any losses and assist with rescheduling.
- Collaborating Partner Policies
As we work in partnership with hotels, lodges, and other service providers, their specific cancellation policies may apply. These will be clearly communicated at the time of booking.
- Non-Refundable Services
Certain services, such as park fees, permits, and flight tickets, are non-refundable once confirmed.
- Rate increase/Variation
In the event of a change on government taxes, levies, Vumbua Safari reserves the right to pass these on to the Client.
- Liability
Vumbua Safari, does not and will not accept any responsibility for any accident or incident of any nature involving clients/guests partaking in any activity, arranged by, associated with or owned by Vumbua Safari Company.
- Client Responsibility
Clients are encouraged to purchase travel insurance to cover cancellations, medical emergencies, and other unforeseen events.
